In an effort to provide corporations or individuals an opportunity to support the event at multiple levels, the Underwriting Committee and the underwriting committee must work in concert with the Event Chair/Co-Chair(s), Sponsorship Chair(s), Executive Committee and other committee leaders to determine what items or activities can or must be underwritten and approach appropriate companies with those opportunities. Thank and recognize underwriters and ensure proper acknowledgement and underwriter benefits are delivered.
The Sponsorship Committee will take the lead in the fund development/sponsorship of the Gala. Committee members should be influential community leaders with deep connections to industry leaders and social elite groups and be willing to leverage and grow these relationships on behalf of the American Cancer Society. Must coordinate with Executive Committee regarding Sponsorship asks and track status of all sponsorship proposals. Thank and recognize sponsors and ensure proper acknowledgement and sponsor benefits are delivered.
The website Committee is responsible for designing, building and managing the website to promote the Gala. Committee members will coordinate with the Sponsorship and Underwriting Committees to ensure that partners are recognized appropriately. Must also work with Auction Committee to make any additions or updates relating to auction items.
The Auction Committee will be responsible for soliciting and obtaining items for the Live Auctions. These individuals should be committed to developing packages that will ensure that auction revenue goals are met. They will also work with the Logistics Chair to plan the display and execution of the live and silent auction at the event site. Maintain list of businesses approached to avoid overlap with Sponsorship and Underwriting Committee. Thank and recognize auction item donors and ensure acknowledgement in program at the event.
The Auction Committee will be responsible for soliciting and obtaining items for the Silent Auctions. These individuals should be committed to developing packages that will ensure that auction revenue goals are met. They will also work with the Logistics Chair to plan the display and execution of the live and silent auction at the event site. Maintain list of businesses approached to avoid overlap with Sponsorship and Underwriting Committee. Thank and recognize auction item donors and ensure acknowledgement in program at the event.
The Revenue Enhancer Committee will work to develop creative and innovative revenue enhancers for advance sales and also at the event site. This team will work with the event leaders to secure prizes or enhancers and will execute advance and on site event sales.
The Logistics Committee will determine and deliver all night of event logistical needs for the event including: décor, VIP reception, entertainment, pre & post event activities, security, volunteer coordination the night of and clean-up.
The Decorations Committee is responsible for carrying out an atmosphere for the venue and will have a detailed plan for all décor needs. Works with auction committee to determine best placement of auction items in order to achieve good flow within the space and must work closely with venue representatives to ensure that all décor needs can be accommodated.
Day of Volunteer
Recruits, trains and organizes day of event volunteers. Responsible for all aspects of event day, from preparing the ballroom, delivering auction items to the event facility, assisting with Auction set up, and coordinating event night volunteers (spotters, hostesses, runners, etc). Also responsible for clean up volunteers following the event to transport unclaimed items back to ACS Office.
The correspondence committee works closely with the Sponsorship, Underwriting and Auction Chairs to compose thank you notes and ensure that they are delivered in a timely fashion. May also be asked to work on other forms of donor recognition and appreciation (delivering Christmas cookies to top sponsors, etc).
Responsible for entering all auction items, donors, guests and sponsors/underwriters into the Greater Giving computer system (training will be provided). May also help with registration and check out the night of the event.
Public Relations Committee
The Public Relations Committee will provide image and awareness of the event in the public and private sector of the community. The date, time, theme, location, cause benefiting and uniqueness of the event should be made known to the community as early as possible.
